The Transportation Manager is responsible for overseeing the day-to-day operations of HomeAides' transportation department, including trip scheduling, dispatch coordination, driver oversight, billing, payment processing, accounts receivable, documentation, and regulatory compliance.
This is a hands-on leadership position for someone who takes ownership of their responsibilities, follows established processes, manages competing priorities effectively, and ensures that important tasks are completed accurately and on time.
The ideal candidate is proactive, detail-oriented, and comfortable balancing operational demands with administrative responsibilities. We are looking for a leader who identifies problems before they escalate, communicates effectively, holds team members accountable, and takes pride in maintaining an organized and dependable operation.
Transportation Operations
Oversee daily trip scheduling, dispatching, route coordination, and driver assignments.
Ensure transportation requests are reviewed for complete client, scheduling, mobility, and billing information before trips are accepted.
Monitor scheduled trips and address delays, cancellations, staffing concerns, and schedule changes promptly.
Ensure clients, facilities, and drivers receive timely and accurate communication.
Maintain appropriate driver coverage and efficient daily operations.
Driver Management and Compliance
Oversee driver onboarding, orientation, training, and required documentation.
Ensure driver qualifications, background checks, licenses, certifications, and training records are complete and current, as applicable.
Maintain accurate driver profiles and records within company systems.
Monitor driver performance, attendance, professionalism, and compliance with company procedures.
Coordinate vehicle availability, maintenance, safety checks, and related documentation.
Billing and Accounts Receivable
Ensure invoices are prepared accurately and submitted within established timeframes.
Oversee timely processing of authorized credit card payments and other approved payment methods.
Verify that necessary billing contacts, payment information, and authorizations are obtained and documented.
Monitor accounts receivable, follow up on past-due balances, and resolve billing discrepancies.
Reconcile completed trips against billing records to ensure all billable services are invoiced.
Maintain accurate payment records and provide management with updates regarding outstanding balances and collection efforts.
Leadership and Accountability
Delegate responsibilities appropriately while maintaining accountability for departmental results.
Identify inefficiencies, resolve recurring problems, and improve departmental workflows.
Address performance concerns promptly and communicate significant issues to executive management.
Maintain professional communication and provide accurate updates regarding departmental operations, outstanding tasks, and areas requiring attention.
Demonstrate initiative, reliability, sound judgment, and a strong commitment to follow-through.
High school diploma or GED required.
Previous supervisory or management experience required.
Experience in transportation, dispatching, scheduling, healthcare services, billing, or administrative operations strongly preferred.
Strong organizational skills and the ability to manage multiple responsibilities in a fast-paced environment.
Demonstrated ability to meet deadlines, follow established procedures, and maintain accurate records.
Excellent problem-solving, communication, and leadership skills.
Proficiency with computers, email, spreadsheets, and business software.
Ability to handle confidential client and payment information appropriately.
A dependable, proactive work ethic with a strong sense of ownership and accountability.
The right candidate understands that effective management involves more than keeping up with the daily schedule. It requires ensuring that the entire department operates effectively, from coordinating trips and supporting drivers to maintaining accurate documentation and keeping billing current.
We are looking for someone who:
Takes initiative instead of waiting for direction.
Prioritizes responsibilities effectively and follows through on commitments.
Identifies potential problems and takes action to resolve them.
Maintains high standards for accuracy, organization, and compliance.
Communicates openly and professionally with employees, clients, and management.
Leads by example and holds themselves and their team accountable for results.
If you are an organized, results-driven leader who enjoys coordinating people and processes, solving problems, and ensuring that important details do not fall through the cracks, we encourage you to apply.
