Onboarding & Administrative Coordinator

Job Responsibilities

Recruitment & New Hire Onboarding

Review incoming resumes and applications to identify candidates who meet the position requirements.

Assist with recruitment efforts, candidate communication, interview scheduling, and follow-up.

Coordinate the onboarding process for new hires, ensuring required paperwork, documentation, and next steps are completed.

Contact new hires to communicate onboarding requirements, answer questions, and help facilitate a smooth transition.

Prepare and send onboarding-related emails and maintain organized employee documentation.

Assist with credentialing processes and track outstanding requirements.

Front Desk & Administrative Support

Provide front desk coverage, greet visitors, answer incoming calls, and direct inquiries appropriately.

Perform general administrative duties and support daily office operations.

Manage office supplies, marketing materials, and new hire supplies.

Coordinate conference-related logistics, materials, and administrative needs.

Assist with internal communications and other administrative projects as needed.

Purchasing & Office Operations

Coordinate Amazon orders and manage office supply purchases.

Assist with IT purchasing, equipment requests, and communication regarding technology-related concerns.

Maintain organized purchasing records and monitor supply inventory.

Support JW-related administrative responsibilities and special projects as assigned.

General Responsibilities

Maintain organized records, follow established procedures, and ensure timely completion of assigned tasks.

Communicate professionally with candidates, new hires, team members, and external contacts.

Provide flexible administrative support across departments as business needs arise.
