Guided by our core values of Passion, Respect, and Excellence, the Medical Records Director oversees the management, accuracy, confidentiality, and compliance of resident medical records while supporting the facility's clinical and administrative needs.
Responsibilities for Medical Records Director:
Oversee the collection, organization, maintenance, and filing of resident medical records, including medical history, demographic information, and clinical documentation.
Ensure medical records are complete, accurate, current, and maintained in accordance with facility policies, procedures, HIPAA, and regulatory requirements.
Manage the distribution and release of medical records to authorized individuals, agencies, and healthcare providers in accordance with applicable regulations and facility policies.
Maintain and distribute medical charts to appropriate clinical and administrative staff.
Monitor medical records for completeness, accuracy, and compliance with documentation requirements.
Maintain strict confidentiality and security of all resident medical records.
Develop and maintain efficient record-tracking, filing, scanning, and data-entry systems.
Coordinate and support medical records audits, surveys, inspections, and compliance reviews.
Retrieve and organize requested documentation for regulatory agencies, auditors, healthcare providers, and facility leadership.
Monitor medical records processes and identify opportunities to improve accuracy, organization, and efficiency.
Train and guide staff on medical records procedures, documentation requirements, confidentiality, and regulatory compliance.
Collaborate with nursing, clinical, administrative, and interdisciplinary team members to ensure timely and accurate documentation.
Stay current on applicable medical records regulations, HIPAA requirements, and long-term care documentation standards.
Qualifications for Medical Records Director:
Current, unencumbered active LPN license in the state of Pennsylvania.
High school diploma or equivalent required; some college coursework preferred.
Prior medical records experience required; supervisory or leadership experience preferred.
Strong data entry and computer skills with exceptional attention to accuracy and detail.
Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Familiarity with medical terminology and healthcare documentation.
Knowledge of HIPAA, medical records confidentiality, and long-term care documentation requirements.
Strong customer service skills when interacting with residents, families, healthcare providers, and facility staff.
Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced healthcare environment.
Ability to maintain confidentiality and handle sensitive resident information professionally.
