Job Summary: The Clinical Operations Coordinator supports the day-to-day coordination of clinical administrative operations, including UAS assessment coordination and physician order management. This position works closely with nurses, physicians’ offices, vendors, Quality Improvement, and internal clinical staff to ensure assignments, orders, documentation, and follow-up activities are completed accurately and timely.
Job Responsibilities:
Coordinate UAS assessments, including scheduling with UAS vendors, assigning assessments to UAS RNs, and following up on schedules and required documentation.
Maintain regular communication with UAS RNs and vendors regarding assignments, documentation, and outstanding items.
Review and process UAS-related paperwork and payroll information for UAS RNs, ensuring accuracy and timely submission.
Review Lenavi for applicable MetroPlus cases and distribute required documentation to the appropriate UAS RNs.
Receive and process clinically reviewed physician orders and Plans of Care for distribution and follow-up.
Send orders to physician offices by fax, mail, or other appropriate methods and follow up on outstanding orders.
Run and review the Open Orders Report and document follow-up activity in the electronic medical record.
Process returned signed orders and route incomplete, questionable, or clinically related issues to the appropriate clinical or Quality Improvement staff.
Maintain accurate tracking of UAS assignments, orders, documentation, and outstanding follow-up items.
Communicate professionally with nurses, physician offices, vendors, and internal staff to resolve administrative and coordination issues.
Escalate issues requiring clinical or management review and support compliance with agency policies and applicable requirements.
Perform other clinical operations and administrative duties as assigned.
Qualifications:
High school diploma or equivalent required.
Previous experience in home care, CHHA, healthcare administration, medical records, or a related healthcare setting preferred.
Experience with UAS processes, UAS RNs, or UAS vendors preferred.
Experience with physician orders, Plans of Care, or homecare EMR systems preferred.
Strong organizational, follow-up, and time-management skills.
Excellent verbal and written communication skills.
Strong attention to detail and accuracy.
Ability to manage multiple assignments, documents, and deadlines independently.
Proficiency with email, Microsoft Office, electronic medical records, and general computer systems.
Ability to recognize and appropriately escalate issues requiring clinical or management intervention.
Ability to maintain confidentiality of patient and clinical information.
Working Conditions:
This position typically operates in an office environment.
Prolonged periods of sitting and computer work.
Ability to communicate effectively by phone, email, and virtual platforms.
